Excel Builder’s website was being hit with a flood of spam enquiries every day. Standard tools like CAPTCHA were no longer effective as bots grew more sophisticated. These fake leads slipped through and landed in front of the sales team. The result was wasted time chasing junk enquiries and inaccurate reporting on lead volume.
We built a filtering system that screens every form submission before it reaches the sales team. The system checks key signals such as IP address, Stytch validation, form completion time, and the presence of JavaScript. Only submissions that pass these checks are sent forward.
From there, the process gets smarter. Each submission is sent to a dedicated inbox connected to ChatGPT through Make. The content is reviewed for sentiment and intent to determine if it is a genuine service request. Valid leads are passed directly into BuilderTrend, Excel Builder’s CRM, while everything is logged in a central spreadsheet for tracking.
With the new system in place, Excel Builder has turned a daily distraction into a controlled, automated process that protects their sales team’s time and ensures their CRM holds only quality leads.
